I understand that circumstances can change and sometimes plans need to change with them.
This policy explains how cancellations, rescheduling and refunds are handled across the services and educational programmes provided by Rhodes to Wellness Coaching.
The applicable section of this policy will depend on the service or programme you have booked.
Please provide at least 24 hours' notice if you need to reschedule or cancel your session.
If you are paying for sessions individually:
Cancellations or rescheduling requests made with less than 24 hours' notice will incur a 50% session fee.
Cancellations with more than 24 hours' notice may be rescheduled without a cancellation fee.
Genuine emergencies will be considered at my discretion.
I understand that genuine emergencies and unexpected circumstances can happen. I will consider these situations individually and with compassion.
If you have purchased a session package:
A session cancelled with less than 24 hours' notice will generally be considered used and the session will be forfeited.
Genuine emergencies will be considered at my discretion.
Package sessions are intended to be used within the agreed or stated timeframe.
If I need to cancel or reschedule a session, I will provide as much notice as reasonably possible.
The session will be rescheduled at a mutually suitable time.
If I am unable to provide the session and an alternative arrangement cannot be made, an appropriate refund may be provided.
The same 24-hour cancellation and rescheduling expectations apply to Equine Wellbeing Sessions.

If a session is cancelled with less than 24 hours' notice:
A 50% session fee will apply where the session is paid individually.
If the session forms part of a package, the session will generally be forfeited.
Genuine emergencies will be considered at my discretion.
Because Equine Wellbeing Sessions are dependent on weather, environmental conditions and horse wellbeing, I may also need to cancel or reschedule a session when it is not appropriate or safe to proceed.
Where I cancel for safety, weather or horse welfare reasons, the session will be rescheduled at no additional cost.
The Equimotional Coaches Course has separate enrolment and payment arrangements because it is a structured educational programme.
A deposit is required to secure a place in the course.
The deposit is non-refundable, except where required by applicable law or where Rhodes to Wellness Coaching is unable to provide the course.
Where a student cancels before the course begins:
More than 30 days before the scheduled start date: a refund of tuition paid beyond the non-refundable deposit may be considered.
Within 30 days of the scheduled start date: refunds will be considered on a case-by-case basis.
Where appropriate, a transfer to a future course intake may be offered instead of a refund.
Once the course has begun, tuition is generally non-refundable.
Where a student withdraws after the course has started, any remaining payment obligations will be considered in accordance with the student's enrolment and payment agreement.
Exceptional circumstances may be considered individually.
Where a student has chosen a payment plan, the payment plan is a method of paying the agreed course fee. It is not a month-to-month subscription.
Withdrawing from the course does not automatically cancel outstanding payment obligations.
Missing an individual class does not automatically entitle a student to a refund or reduction in course fees.
Where reasonably possible, I may provide access to missed learning materials or discuss an appropriate way for the student to catch up.
If I am unable to deliver the course as scheduled, students will be offered an appropriate alternative, which may include:
Transfer to another course intake; or
A refund of applicable course fees where an alternative cannot reasonably be provided.
Where a refund is approved, it will generally be returned using the original payment method where reasonably possible.
Processing times may vary depending on the payment provider or financial institution.
I understand that life does not always follow a policy.
Serious illness, family emergencies, bereavement or other significant unexpected circumstances may be considered on an individual basis.
This does not guarantee a refund, but I will consider the circumstances fairly and with compassion.
Nothing in this policy is intended to remove or restrict any rights a client or student may have under applicable consumer protection or other legislation.
Where applicable law provides a greater right to cancellation, refund or other remedy, those legal rights will apply.
